Record Resignation

Why should I use this form?

When an employee decides to tender his/her resignation, he/she can do so using the Record Resignation form.

The HRFAC/Separation FAC/Manager can use this form to initiate the separation process on receiving the resignation letter from their subordinates.

Note: Record Resignation by self is configurable. If the parameter RAISE_RESIGNATION_SELF is set as ‘Y’ in Adrenalin Configuration Editor, then the employee can raise the resignation for self.  If it is set as ‘N’, then the employee cannot raise the resignation for self.

What are the Pre-requisites?

·         Reason Master should be available (Admin à Setup Masters)

·         At least one separation type has to be mapped to the login user’s role

·         Employee Deactivation should not be raised for this employee.

 

Who can access this form?  

This form shall be visible to all employees to whom the visibility is given in Product Setup à Module Role Mapping/Module Administration.

How to navigate to this form?

Point to HR Task menu, select Record Resignation from Employee Separation.

If Record Resignation is initiated for another employee, then that employee has to be selected using the Employee Summary icon.  

 

 

This form has two sections. The first section shows details of the employee for whom the resignation is initiated.  Details such as Employee Name, Date of Joining, Grade, Location, Functional Reporting to, Employee ID, Designation, Business Unit, Department and Reporting Manager are shown here.

The next section contains details regarding the resignation.  This includes Separation Type, Resignation Reason, etc..

Field guidelines are as follows:

Field

Description

Separation Type

Select Separation Type from the drop down field.

Note: Separation types that are mapped in the Separation Type Role Mapping will be listed in this field.

Resignation Reason

Select Resignation Reason from the drop down field.

Note: Reasons that are entered for the selected Separation Type will be listed in this field.

Resignation Letter Date

Select a date to indicate when the employee has submitted the resignation.

Note: This date should be greater than the date of joining and should be less than or equal to the current date.

Request Relieving Date

Select a date to indicate when the employee has requested for relieving.

Note: This date should be greater than the date of joining and can be current or future date.

Actual Relieving Date

By default it shows the selected Request Relieving Date, and it is not possible to change it.  

Note: This is applicable only if the resignation is initiated for self.

Note: All these date fields will be enabled/disabled based on the selected Separation Type.

Mailing Address same as

Select the mailing address option for the resigning employee.

·         Permanent Address – If this option is selected, then the employee’s Permanent Address will be taken from his Contact details form.

·         Current Address – If this option is selected, then the employee’s Current Address will be taken from his Contact details form.

·         Other Address – If this option is selected, then the address can be entered in the ‘Other Address’ field.

Other Address

This field shows the Permanent Address or Current Address of the employee, based on the Mailing Address same as option selected.  This field will be disabled in these cases.

If the Mailing address same as option is selected as ‘Other Address’, then the address of the employee can be entered here.

Next Employer

Enter next employer of the resigning employee.

End of Notice Period

Enter the number of days, which will be considered against any shortfall in notice period.

Note: This will be enabled only if the Resignation Type is selected as ‘Dismissal’.

Notice Period

Shows the notice period that has been given for this employee at the time of employee creation.

Notice Period Short fall

This will be calculated as Notice Period – difference in days between the resignation letter date and actual relieving date.  For example, if the notice period is 60 days, resignation letter date is selected as 06-08-08, and actual relieving date is selected as 08-08-08. Here the Notice period short fall days is calculated as 60 – 2 (difference between the resignation letter date + actual relieving date) = 58.

While calculating the Notice period shortfall, configuration parameters set in Adrenalin Configuration Editor is taken into consideration.

·         SHRFALLWITHOUTENDDAY - This is to specify if the Actual relieving date should be included while calculating the notice period shortfall days or not.  If this value is set as 'Y', then the Actual relieving date will be included in the shortfall days.  For example, the Actual Relieving Date is selected as 30th Aug.  If the Configuration value is set as 'Y', then 30th will be included in  the shortfall days.  If the configuration value is set as 'N', then 30th will not be included in the shortfall days.

·         SHRFALLWITHOUTWORKDAY – This is to specify if the Resignation Letter Date should be included while calculating the notice period shortfall days or not.  If this value is set as 'Y', then the Resignation letter date will be included in the shortfall days.  For example, the Resignation letter Date is selected as 10th Aug.  If the Configuration value is set as 'Y', then 10th will be included in the shortfall days.  If the configuration value is set as 'N', then 10th will not be included in the shortfall days.

Description of Reason

Enter description of the selected resignation reason.

Personal Email ID

This field is used to capture the personal email id of the resigning employee.  When the record resignation is approved, email notification will be sent to this email id.

Do Not Hire

Selecting this check box enables the system to block reinitiating of the employee.  This means that once the resigning employee is deactivated/ final closure has been done, then he/she cannot be reinitiated.

Note: This field will be available only if the Resignation is raised by Manager/HRFAC.

Reason for Do not hire

This field is for capturing reasons for not to reinitiate the employee.  This field will be enabled only when “do not hire” is checked.

Voluntary /Involuntary

Option to select if the resignation is voluntarily initiated by the employee or not.

Note: If the option is selected as Voluntary, then Exit interview process will be automatically initiated (based on the configuration settings “TRIG_EXITINT_BASED_ON_VOLUNTARY_RESIG”) for the exiting employee, on approval of clearance activities.  If the option is selected as Involuntary, then the exit interview process will not be initiated. The HRFAC has to schedule the exit interview for the employee.

Note: ‘Do Not Hire’, ‘Reason for Do Not Hire’ and ‘Under Investigation’ fields will not be available if an employee raises a resignation for self.

Payroll Info tab

Display of this tab is configurable.  Is SEP_SHOW_PAYROLL is set as ‘Y’ in Adrenalin Configuration Editor, then the Payroll tab will be available in the form.  If this parameter is set as ‘N’, then the Payroll tab will not be available in the form.

Note: This tab will not be available if an employee raises a resignation for self.

Payroll Info tab – Display of this tab is configurable.

Last Pay Date

Select the last pay date for the employee

Last Working Day

Select the last working date of the employee

Retainer Salary

Enter amount that needs to be retained from the employee’s salary

Retainer Salary Release

Select the date when the retained salary has to be released to the employee

Medical Cover Expiry

Select the date when the medical cover for this employee expires.

Enter Vacate Property by

Select the date when the property has to be vacated by the employee. This will be applicable to employees who have taken company accommodation or company property.

Recover Shortfall

Select if the Shortfall in notice period has to be waived-off or recovered.

Partial Waive-Off days

Enter number of days to be waived-off for the employee.

Note: This field is enabled only if the Recover Shortfall option is selected as ‘Partial Waive off’.

Reason for Waive-off

Enter reason for waiving-off the notice period for the employee.

Note: This field is enabled only if the Recover Shortfall option is selected as ‘Partial Waive off’.

Shortfall period after Waive-off

By default this field shows the notice period shortfall days.  If number of days is entered in ‘Partial Waive-off days’ field, then it will show the shortfall days – partial waive-off days.  For example, if the notice period shortfall is 10 and partial waive-off is given as 5, this field shows 5, which is 10 – 5.

Salary Hold

Select if the salary has to be withheld for the employee.

·         No hold – Salary will not be withheld

·         Immediate – Salary will be withheld immediately

·         Last Month - Hold Salary in the last pay date month

Payment Advice

Select if the payment has to be made immediately or as per the normal course of time.

Note: Default values for “Salary Hold” and “Payment Advice” fields can be configured using the parameter in configuration editor form.

·         For Salary Hold - The configuration name “PAYMENTADVICE”. 

·         For Payment advice - value is specified for the configuration name “SALARYHOLD”.

Car Return Date

Select the date when the car has to be returned.  This will be applicable for the employees who were allotted a company car.

 

Click [View Asset Report] link to view the Assets Report.

 

All the assets that are in the possession of the resigning employee have to be handed over to the respective Activity Owners.

Click [Submit].  On successful validation, record will be inserted in the table.  No modifications can be done until the form is approved.

Click [Reset] to refresh the form.

Post Activity

·         Upon approval, if any exit interview template is mapped for the resigned employee's position, then the Exit Interview will be scheduled automatically and the employee can provide details for the same.  If no mapping is available, then the HRFAC will be scheduling the Exit Interview for this employee (using Schedule Exit Interview form)

·         Upon approval, if any activities are mapped for the resigned employee’s position, then those activities will be shown in the Employee Clearance Form.

Record Resignation initiated employee’s details will be available in Employee Clearance form, Resignation Pullback, Schedule Exit Interview, Final Closure, Employee Deactivation forms.
