Leave Additional Configuration

 

Why should I use this form?

This form facilitates capturing additional leave configuration parameters such as Loss of Pay calculation, Supporting document and Anniversary Leave Configuration.

What are the Pre-requisites?

Special Leave Type should be configured.

Who can access this form?

This form shall be visible to all employees to whom the visibility is given in Product Setup ® Module Role Mapping/Module Administration.

How to navigate to this form?

Point to Admin menu, select Leave Additional Configuration under Leave.

 

Select Leave type from the grid for which additional configuration has to be set.

General Configuration section

·         Supporting Document mandatory beyond – This field facilitates making the Supporting document option as mandatory beyond ‘n’ days. This will be enforced in the leave request form when employee raises leave request for more than ‘n’ days. For example, if the days is given as 3, and the employee tries to raise a leave for 4 days, then the supporting document will be mandatory while requesting the leave.

Note: This field will be enabled only when ‘Supporting document required’ is set as ‘Yes’ in Leave configuration à Common-1 tab

·         LOP Calculation – This field facilitates specifying the salary components that need to be considered for Loss of Pay calculation - on Basic or CTC or both on Basic & CTC.

·         Basic – LOP will be calculated on Basic pay of the employee.

·         CTC – LOP will be calculated on CTC of the employee

·         Both – LOP will be calculated both on Basic and CTC, based on the number of days entered. If this option is selected, then the On CTC Beyond field will be enabled and the number of days has to be entered here. For example, if it is given as ‘3’, then it means if the LOP days is 1 -3, the LOP will be calculated on Basic of the employee. If the LOP days is more than 3, then the LOP will be calculated on CTC of the employee.

The LOP Calculation field will be enabled only when ‘Loss of pay’ selected as is greater than 0% in Leave configuration à Common tab.

Anniversary Leave Configuration section

This section facilitates configuring the anniversary leave types like DOJ Anniversary Leave and Founder Leave.

·         Eligibility Cut-Off date – This is for specifying the cut-off date to be considered for crediting Founder’s Day Leave.  The leave will be credited to employees who have joined on or before the cut-off date selected here.

·         Not Applicable With – This is to restrict a leave type for an employee, if he is eligible for both the leave types. This will be enabled if Leave Type is selected as ‘Founder’s  Day Leave’.  For example, if an employee is eligible for both ‘DOJ Anniversary Leave’ and ‘Founder’s Day Leave’, then only the Founder’s Day Leave will be visible in his leave request form.

·         Can be Availed – This is to specify when the leave can be availed by employees.

·         On DOJ Anniversary – If this option is selected, then the leave can be availed only on the date of joining anniversary of the employee. For example, if date of joining is on 4th Jan 2007, this leave can be taken only on 4th Jan 2008, 4th Jan 2009 and so on.

·         Next Calendar Date – If this option is selected, then the leave can be availed on the immediate next calendar date after date of joining anniversary of employee. For example, if date of joining is on 4th Jan 2007, this leave can be taken only on 5th Jan 2008, 5th Jan 2009 and so on.

·         Next Working Date – If this option is selected, then the leave can be availed on the immediate next working date after the date of joining anniversary of employee.

·         From Month – This is to specify when the DOJ Anniversary Leave and Star Leave has to be credited. If it needs to be credited after three years, then it should be entered as ‘36’ here. If it needs to be credited after five years, then it should be entered as ‘60’ here.

·         Avail within Days – This is to specify the number of days within which the leave has to be availed. For example, if the leave is credited for an employee on 18th of Jan, and if Avail within Days is given as 2, then the leave has to be availed by employee before 20th of Jan. Otherwise, it will lapse.

Note: This field will be applicable only for ‘Star Leave’.
